11. Add and Manage Equipment in Yeti 4.0
This article explains how to set up equipment categories, define client billing and subcontractor pay rates, and add machinery or tools to your Yeti 4.0 Catalog for operational tracking and hourly billing.
In Yeti 4.0, equipment tracking uses a two-tier structure:
- Categories: Define default billing rates (Client Charge Rate and Subcontractor Pay Rate) and grouping types (Snow, Landscaping, or Misc).
- Equipment: Represents specific physical machinery or tools (e.g., CAT Mini Wheel Loader) that inherit rates from their assigned category.
Step 1: Access the Equipment Catalog
- Log in to your Yeti 4.0 account.
- From the left navigation menu, expand Catalog.
- Click Equipment.
Step 2: Create Equipment Categories (First)
Note: Before adding specific machine names, you must first create equipment categories to hold their billing rates.
- Click the Categories tab at the top of the page.
- Click the + Add category button.
- Name: Enter a descriptive category name (e.g., Mini Wheel Loader).
- Group: Select a operational group from the dropdown menu (Misc, Snow, or Landscaping).
- Client Charge Rate: Enter the default hourly billing rate charged to clients when this equipment category is used.
- Subcontractor Pay Rate: (Optional) Enter the default hourly rate paid to subcontractors when they supply this equipment.
Note: Category rates act as account-wide defaults and can be modified on individual contract commitments if needed.
- Click Save Category.
Step 3: Add Individual Equipment Items
- Click the Equipment tab at the top of the page.
- Click the + Add equipment button.
- Name: Enter the specific piece of equipment or tool name (e.g., CAT Mini Wheel Loader).
- Name for Operator: (Optional) Customize the name shown to field operators in the mobile app.
Note: This field auto-fills with the equipment name but can be edited if needed.
- Category: Select the relevant category created in Step 2 from the dropdown menu (e.g., Mini Wheel Loader (Snow)).
- Client Description: (Optional) Add additional machinery descriptions for detailed client reporting.
- Click Save Equipment.
- Hourly Billing: Requiring equipment on a contract commitment sets the charge type to Equipment Hourly, billing clients directly using the rates defined in the equipment category.
- Mobile App Routing: Equipment assigned to work plans informs operators what machinery or attachments (e.g., plow trucks, loaders, salters) to take on a job route.
