6. How to Create and Manage Service Contracts with Commitments in Yeti 4.0
This article explains how to create client service contracts, set up line-item commitments (standing service obligations), configure billing rates, and finalize contracts so they are ready for field work plans.
In Yeti 4.0, contracts capture overall agreements with your clients, while Commitments translate individual contract service lines into standing obligations for specific sites. Every commitment defines the work trigger, billing rates, required equipment, and crew instructions.
Step-by-Step InstructionsStep 1: Access the Contracts Section
- Log in to your Yeti 4.0 account.
- In the left navigation menu, click Client Management to expand the options.
- Click Contracts to open the contracts directory.
- Click the + Add contract button on the top right.
Step 2: Enter Basic Contract Information
- Name: Enter a clear, descriptive label for the contract (e.g., Home Depot Winter 26/27).
- Client: Select the client company from the dropdown menu.
Note: New contracts start in Draft status. No work is generated until commitments are added and the contract is committed.
- Contract # & Reference: (Optional) Enter contract numbers or reference codes to track the agreement.
- Start & End Dates: (Optional) Select the contract duration dates.
- Notes: (Optional) Add internal notes or agreement details.
Step 3: Add Service Commitments
- Scroll to the Commitments section and click + Add Commitment.
- Service: Select the service to be performed (e.g., Plow).
- Site: Select the specific service site location where the work will occur.
- Trigger: Select how the work is initiated:
- Scheduled: Requires a scheduled service date.
- SLA / event: Triggered by weather conditions or events. Always visible on mobile app routes ready for service.
- Work order based: Generated on demand.
- SLA Terms (For SLA/event triggers): Specify SLA response time (min), SLA completion time (min), and terms (e.g., Clear within 4 hours of 2 in. accumulation).
Step 4: Configure Equipment, Consumables, and Billing Rates
- Equipment & Consumables:
- Check Required for this work under Equipment if specific machinery is needed. Setting required equipment defaults the charge type to equipment hourly.
- Check Required for this work under Consumables if materials (e.g., salt, ice melt, sand) are required for tracking or billing.
- Client Charge Type & Rate:
- Choose the billing structure: Per visit, Hourly service, Monthly, Per season, or Equipment hourly.
- Enter the Client Charge Rate matching the chosen charge type.
- Subcontractor Pay:
- If outsourcing to third-party vendors, select the Subcontractor Pay Type and enter the Subcontractor Pay Rate for job costing.
Step 5: Define Crew Expectations and Save Commitment
- Done-state definition: Enter clear completion standards for the crew (e.g., All paved surfaces clear to bare pavement; entrances salted; photos submitted).
- Instructions: Enter arrival or site-specific instructions for the team (e.g., Plow to bare pavement, then salt drive lanes. Gate code 4471).
- Click Add Commitment at the bottom of the modal to save the service line.
Step 6: Attach Documents & Finalize Contract
- Documents (Optional): Upload signed PDF contracts or amendments (up to 20 MB each).
- Click Commit at the bottom right to convert the draft into an active contract.
Result: The contract status changes to Committed, making the commitments ready for Work Plans and routing.
