Quote Tool Guide

This support guide provides step-by-step instructions on how to create quotes for your company's services. Dive in to learn how to navigate the tool, input service details, and generate accurate quotes.

 

Quote Tool 

A quote is an estimated cost to service one or more sites for a client over a defined period of time. It includes pricing for labor, equipment, and consumables based on the scope of work at each site. Quotes help outline expectations, schedule commitments, and total costs before services begin.

Editing Data from Yeti

When you’re creating a quote, some of the information—like sites, services, measurements, or pricing—comes from other parts of Yeti, such as the Sites page, service page or existing Client Contracts.

  • You can’t change this existing information directly in the quote.
    If something needs to be updated (like pricing or measurements), go to the relevant section in Yeti, make the change there, and then return to the quote. 

  • You can add new information in the quote, such as a new site, service, or measurement that doesn’t already exist in Yeti.

Quote Tool Page

Select the Quote button on the navigation bar to get to the Quote page. 

Select the blue Create Quote button.

The quote builder will open up with the three following  tab:

Client Info Tab

Client information in a quote refers to the key details about the customer receiving the services. This includes the client’s name, Quote ID and status, dates and contact details.

The first field will allow you to either:

  • Select a current client
  • Create a potential new client. 

In the Quote name field, you can give this quote a name.

The Quote ID is a unique identifier automatically assigned to each quote. It helps you easily track, manage, and reference specific quotes throughout the quoting and service process.

In the Quote ID field, you also have the option to enter a custom identification number for your quote,

The status of a quote indicates where it stands in the sales process. Options include:
  • In Progress – The quote is being created or reviewed.

  • Closed – The quote is no longer active and won't move forward.

  • Won – The client has accepted the quote, and the work is approved to begin.

  • Lost – The client has declined the quote or chosen another provider.

These statuses help track the outcome and progress of each quote.

Note: Quote statuses do not update automatically. It’s up to you to manually change the status as the quote progresses.

In the internal note field, you can leave any additional information that you want internal staff members to have access to. 

In the date fields, you can select a start and end date. 

Important to note: You must first complete and save the Client Info tab before accessing the Site or Contract tabs. Access to these tabs will be restricted until the Lead/Client field is filled out.

Sites Tab

The site section of a quote lists the specific sites included in the proposal. It outlines where the work will be performed, along with site-specific details such as services, pricing, and frequency.

Sites Summary

The Sites Summary dashboard provides a quick overview of all sites included in a quote. It helps you easily assess the overall scope and financial performance at a glance.

This summary displays key information, including:

  • Number of sites: The Number of Sites section shows how many individual service locations are included in the quote.
  • Total cost: The Total Cost on the site page represents the combined estimated cost to service all sites included in the quote. It includes all labor, equipment, consumables and services across every location listed.
  • Total price: Total Price is the full estimated amount the client will be charged for all services included in the quote. It covers the combined costs of labor, consumables, equipment, and all listed sites over the service period.
  • Profit by percentage: Profit is the amount earned from a quote after subtracting all costs—such as labor, equipment, and consumables—from the total price. It represents the financial gain from servicing all sites included in the quote.
  • Payment Breakdown: The Payments section of a quote is used to outline how many instalments you’ve pre-agreed upon with the client for the season.

Site Section

Below this is your site section. Here you can add current sites that are already in Yeti or create new ones. 

Add a Site

To add a current site, select the Add Existing Site button. 

A pop-up will appear with two tabs. One for your current sites and one for quote sites.

 

Select the sites you want to add to the quote and click done. 

Create a Quoting Site

To create a new site for the quote, select the add site button. 

Quote > Site

The Quote > Site page is where you define the services to be performed at a specific site. Here, you can assign labor hours, select equipment, and add any necessary consumables.

These details are essential for accurately calculating costs and ensuring the quote reflects the precise scope of work for each site.

It has three tabs. 

Site Information

  • Site Information: Site Information: refers to the basic details of a service location. This includes the site name, address and contact information. 
  • Measurement and Map: This is where you can upload site maps and images, geo-fencing and also add measurements of the site itself. 
  • Services

 On the site tab you can add the following information: 

  • Site name 
  • Address
  • Address notes
  • Contact information

Important:
To access the Measurement & Map and Service tabs, you must first enter a Site Name and Site Address, then save the information.

Measurement and Map

On the measurement and map tab you can add the following information: 

  • Geo-fences:  A geofence is a virtual boundary set around a service site using GPS mapping. It helps track when crews enter or exit a location and can be used for verifying service times, automating check-ins, and improving accountability during site visits.
  • Images: You can upload site maps in PDF, PNG, or JPG format. Additionally, there is an integrated map feature that allows you to capture and save a screenshot of the site location directly within the platform.

  • Add measurements: Measurements refer to the recorded sizes or dimensions of specific service areas within a site. To add a measurement, click the plus (+) button to generate a new line. You can then enter a title, input the size, and select the appropriate measurement type from the available options.
    • Square meters

    • Square feet

    • Acres


Service

On the service tab you have a Dashboard called the site service summary and a section to add new services 

Site Services Summary: This is a dashboard that provides a clear overview of all services included for a specific site within a quote. It displays key financial details such as:
  • Total Cost

  • Total Price

  • Profit Margin

  • Profit 

This helps you quickly assess the performance and value of services at the site level.

Add a New Service

Select the add service button. 

A pop-up will appear, here you can give your service.

  • Name
  • Name for operator
  • Number of visits
  • Client description

Add a Existing Service

You also have the option to add existing services by selecting the existing services button.

 Select each service you want to add and select the Add Service button. 

Once you have entered your information, click save.  

Edit Service

Once you have added your services, you can then edit them. Select the pencil icon. 

Select the Add Item button to add equipment, consumables, and labor.

Select which items you want to add and select done.

Selected items will appear under your service. 

Edit Items

You can edit each item in a service—whether it's equipment, consumables, or labor—to accurately reflect your project needs.

Editable fields include:

  • Qty/Visit: Number of times this item is used during the season

  • Units: How quantities are measured (e.g., hours, square feet). Custom units are supported.

  • Unit Cost: Your cost per unit

  • Unit Price: What you charge per unit

  • Tax Rate: Choose from your predefined tax rates from the tax rate page

  • Profit: Adjust the profit percentage to impact the overall service margin

Once Labour is selected, you'll have access to the Production Rates Calculator.
To open it, click the calculator icon next to Qty/Visit. A pop-up will appear where you can select one of your predefined production rates. The selected rate will automatically populate the Qty/Visit field.

If you want to delete items you can by select the checkbox beside your item and then selecting the bin icon. 

Select the X in the right corner to collapse the service .

You have a choice to view your service data for per season and per visit by selecting the button above the service section. 

Contract Tab

A contract will be created based off the information you have entered into the other tabs. 

You can give your contract a name, see a preview and select the export button to download a PDF version of it.

Archive a quote 

To archive a quote, select the checkbox beside the quote itself and select the bin icon. This will put it in the inactive list. 

Unarchive a quote 

To unarchive a quote, select the inactive tab. Select the checkbox beside the quote itself and then select the bin icon. This will put the quote back into the active list.
